One set of data for every report.
Balances, invoices and payroll data are held in one place, and every report is calculated from them. That is why the reports agree with one another, which separate tools do not manage. Where two sources differ, such as the payroll data and the staff costs in the P&L, ReportNow! shows the difference.
Profit and loss statement
The P&L is built from the balances in your books, imported as a DATEV account ledger (Kontenblatt), Lexware account export, trial balance or journal. ReportNow! stores the movement of each account per month and derives the figures for months, quarters and years from it; if a month is missing, the others are unaffected. Subtotals such as gross margin, EBITDA and EBIT appear below the lines they summarise, as in a printed P&L.
- Switchable between nature of expense and function (COGS, S&M, R&D, G&A)
- Actuals, budget and forecast side by side, with the variance in euros and per cent
- Every line with its own accounts can be expanded by account and cost centre down to the individual posting, where the books provide individual postings
- Group view across several companies in a single query

Balance sheet
The balance sheet is derived from the opening balance of the financial year and the monthly movements up to the reporting date. Because it is built from the same balances as the P&L, the report runs the balance sheet check at the same time. Assets less equity and liabilities must equal the result for the period from the P&L, which during the year is not yet part of equity. If the check does not add up, it shows the difference.
- Point-in-time figures: a quarter or year column shows the position at the end, not the sum of the months
- Balance sheet check directly below the table
- A non-calendar financial year is possible, the same for all companies of a tenant
- Planned balance sheet based on the actual opening position

Cash flow statement
The cash flow statement has no accounts of its own. It is derived from the P&L and the balance sheet: income and expense items enter at their value, balance sheet items at their change. Finally, the cash flow check tests whether the total of the cash flows equals the change in cash and cash equivalents. If a line is missing from the derivation, the check shows the difference.
- Operating, investing and financing activities shown separately
- Non-cash items such as depreciation and amortisation removed
- Cash flow check against the change in cash and cash equivalents
- The derivation of every line can be viewed and adjusted

Direct cash flow
From your bank statements, ReportNow! assigns each payment to a counterparty and a group, such as customers, suppliers, staff or taxes, and shows them by week, month or year. The statement balance check compares the account balance with the balance reported by the bank. In the data series “Actual + plan”, the report continues the account balance after the last bank statement with the plan from Financials, using the payment terms you maintain for each group.
- Bank statements as CSV files, including the Qonto export; counterparties recognised from the bank’s details, the description or your own rules
- Per bank account or for all together, by week, month or year
- Statement balance check against the bank’s balance and reconciliation with the books per nominal account
- The financial plan as the data series “Plan” or “Actual + plan” alongside actuals, calculated from the plan in Financials and the payment terms per group

Sales
The sales report reads your outgoing invoices, as a list from your invoicing software or as individual e-invoices, and spreads each invoice line across the months of its service period. An annual invoice thus becomes twelve months of revenue, and a customer billed once a year does not appear to have churned for eleven months. You decide which attributes to break revenue down by: besides customer and item, for example product group, country or revenue type.
- Hierarchies of any number of dimensions in an order you choose, expanded within the row
- Revenue, volume and price; the price is calculated per cell from revenue and volume, never averaged
- Retention: NRR, GRR and churn against the same month of the prior year
- Intra-group revenue is eliminated in the group view and shown with its amount

HR
The HR module reads the monthly payroll data, as the DATEV payroll report (LOPS-Auswertung “Personalkosten”) or as the DLS export from the payroll software, for example Lexware Office, which also brings the employee master data. It shows costs by cost type, headcount as a point-in-time figure and joiners and leavers with their gross pay alongside. In the org chart, each row contains the total of its entire branch, that is the headcount and costs under one manager. The reconciliation that is part of every month-end close compares payroll costs with staff costs in the P&L.
- Cost per head based on person-months, not on headcount at the reporting date
- Cost centres assigned with an effective date: a change does not alter the months before it
- Org chart along the reporting lines, with a total per branch
- Reconciliation with the P&L directly in the report

Time sheets for grants
Anyone who receives grant funding has to evidence hours per person and day. ReportNow! calculates the time sheet from the weekly hours and the project share, whether that applies to a cost centre or to an individual person. Only actual working days count: public holidays in the federal state, company holidays, annual leave and sick leave are deducted, even a half day. Project costs come from the same payroll data as the HR report. If a person is assigned to several projects for more than 100 % in total, ReportNow! flags it when the share is entered, so that no hour is funded twice.
- Day by day per person and month, with target hours and project hours
- Public holidays, company holidays, annual leave and sick leave deducted
- Assignments totalling more than 100 % are flagged
- As a PDF with fields for date and signature, individually or for everyone
Image: Time sheet for a funded project, one person expanded down to the day; weekends, public holidays, annual leave, sick leave and a company bridge day stay empty
Open receivables
ReportNow! reads the item lists from your DATEV accounts receivable ledger and analyses the open items by age, per customer and per company. Together with the sales report, this answers a basic question of liquidity planning: which revenue has already been paid, which is still outstanding and which customer has left a payment outstanding for too long.
- Ageing in due-date bands, calculated as at the date of the list
- Days to pay for every invoice from invoice date to payment date, by customer or by date
- Cross-check per customer: invoiced − payments − other reductions = open receivables
- Payment term for customer payments in liquidity planning, suggested from the actual days to pay
Image: Days to pay for every invoice since the start of the year; the open ones are the bars that extend beyond the reporting date line
Loans
For each loan, ReportNow! calculates the interest and repayment schedule, the outstanding balance at each reporting date and the path to the end of the term. You enter the contract once. If a special repayment, a repayment holiday or a new interest rate comes along later, you add this change to the repayment schedule and the schedule is recalculated. These are the figures lenders ask for first.
- Interest and repayment schedule per contract, with balances due at maturity shown separately
- Fixed or floating rate, with an interest rate curve and the portion hedged by swaps
- Payment dates per counterparty with repayment, interest and drawdown, that is what goes through the account and when
- Transfer to the financial plan: interest to the planned P&L, drawdowns and repayments to the planned balance sheet, all payments to the liquidity forecast
Image: Outstanding balance per contract and year, including loans not yet drawn down
Chart: Outstanding balance by lender, stacked, average interest rate on the right axis
Taxes
ReportNow! calculates corporate income tax, solidarity surcharge and trade tax per company and year from profit before tax, for actuals as well as for the plan, with loss carryforwards and minimum taxation. The advance payments are based on the prior year, and the full tax often only falls due with the tax assessment. The report therefore shows not only the tax but also when it is paid. VAT goes into liquidity planning as net VAT due, with its payment dates.
- Corporate income tax, solidarity surcharge and trade tax per company, with municipal multiplier and separate loss carryforwards
- Add-back of interest under § 8 No. 1 GewStG from the loans entered
- Payment dates: advance payments, final payment and VAT returns, including with a filing extension (Dauerfristverlängerung)
- Transfer to the financial plan: tax expense to the planned P&L, payments to the planned balance sheet

What works the same in every report.
Period, aggregation, number format and drill-down work the same way in the financial, sales and HR reports. Once you know one of them, the others need no separate training.
Month, quarter, year
The browser builds quarters and years from the monthly figures, so a quarter column expands into its months without any waiting. The aggregation follows the kind of figure: the P&L adds up, the balance sheet shows the position at the reporting date, and the headcount shows the last month.
One company or the group
With the selection “Group (all)”, ReportNow! calculates across all companies in a single query, without copying individual reports together. In the sales report, intra-group revenue is eliminated and shown with its amount and counterparty. This requires that Master data › Companies records the customer name under which each company appears in the books of the others. In the P&L, intra-group revenue is only taken out if you choose “Revenue from: Sales report”.
Expand down to the posting
In the P&L and balance sheet you expand a line through account and cost centre down to the individual posting, provided postings have been imported. The sales report goes down to the invoice line, the HR report down to the person. The next level appears either within the row or as a separate table. If you doubt a figure, you can see what it is made of.
Cross-checks in the report
The balance sheet check and the cash flow check appear directly below the table of the financial report. The reconciliation of payroll data with the staff costs in the P&L is under HR › Report › Reconciliation.
German and English
The interface can be switched between German and English, and numbers and dates then follow the conventions of the language. For the report to an international shareholder you do not need a second workbook.
Plan next to actuals
In the financial, sales and HR reports, any number of plan variants stand next to the actuals, with the variance in absolute terms and as a percentage, or in percentage points for ratios. Actuals and plan are never added together.
