Excel workbook to download

ReportNow! as an Excel workbook, free of charge.

The workbook reproduces ReportNow! in Excel: input tables for the exports from accounting, invoicing software, payroll and bank, mappings, planning sheets with formulas and the reports as pivot tables. With the data of the fictitious Beispiel GmbH, it arrives at the same figures that ReportNow! calculates for this company. The workbook itself is in German.

Structure

Financials are at the centre.

As in the application, Sales, HR, Loans and Taxes deliver their plan figures as postings to the financial plan. Payroll data and bank statements are reconciled with the accounting data. The start sheet of the workbook shows the same map, and each module name takes you to the first sheet of its module.

Contents

What the workbook contains.

Input tables

Balances, outgoing invoices, payroll data, item lists, bank statements and loan contracts are held in Excel tables. Anything you add at the bottom becomes part of the table at once; the reports show it after “Refresh All”.

Mappings and master data

Structure and account ranges for SKR03, in the empty workbook also for SKR04, plus cost centres, the Sales mappings to product, product group and country, the plan distribution, the payment terms and the planning contra accounts. An account belongs to the line of the narrowest range that contains it.

Planning sheets

Roll-forward for sales, HR and costs, repayment schedules, the tax calculation and the Financials plan import. Each module calculates its plan block as postings for the financial plan.

Reports as pivot tables

P&L, balance sheet and cash flow statement with actuals, plan and variance, plus the reports of the other modules. Subtotals such as gross margin and EBITDA are calculated on a helper sheet for each line and month.

Checks

The balance sheet check and the cash flow check are in the last row of the balance sheet and the cash flow statement. The sheet Übernahmen (transfers) shows whether each plan block is up to date, and the workbook checks whether its helper tables are large enough.

Start sheet

It shows the map of the modules, a comparison with ReportNow! and the working steps in their order. Each module name and each entry in the table of contents takes you to the relevant sheet.

Working with the workbook

Three steps after every month-end close.

Paste in the exports

Copy balances, invoices, payroll data and bank statements into the tables marked in yellow, in the column order given. The sheet Finanzen Konten (financials accounts) shows accounts without an account range as “(nicht zugeordnet)” (not assigned), and the sheet Vertrieb Setup (sales setup) counts missing Sales mappings.

Transfer the plan blocks

The modules calculate their plan blocks with formulas. You copy each block into Financials as values, in this order: Sales, plan import, roll-forward, HR, Loans, Taxes. The sheet Übernahmen (transfers) shows which block is out of date.

Refresh All

On the Data tab of the ribbon, click “Refresh All”. The pivot tables then show the new figures, and in the last row of the balance sheet and the cash flow statement you can see whether the balance sheet check and the cash flow check add up.

The difference

The workbook and ReportNow! compared.

The biggest difference is speed. Excel takes about a minute to open the workbook, and after every change you wait for “Refresh All”. ReportNow! calculates the P&L, balance sheet and cash flow statement of the same Beispiel GmbH over two years with a plan in a fraction of a second.

TaskIn the workbookIn ReportNow!
SpeedExcel takes about a minute to open the workbook because it reads in more than 300,000 formulas.Calculates a report in a fraction of a second, including the plan and across several years.
ImportCopy the exports into fixed columns, and first reshape the LOPS report into one row per person, month and cost type.Imports the exports directly, reading CSV columns by their heading. Before anything is saved, a preview shows what will be imported.
Chart of accountsMaintain account ranges by hand. An account without a range is missing from the P&L.Recognises SKR03, SKR04 or IKR from the balances. The report lists any unassigned account with its amount.
RefreshingClick “Refresh All” on the Data tab after every change.Calculates every report when it is opened.
Drill-downDouble-clicking a figure creates a new sheet with the rows it comes from. One click expands the row in the report, in Financials down to the individual posting.
PlanningAfter every change, copy each plan block again and paste it as values, in a fixed order.“Transfer and recalculate” transfers all selected parts in the same order. The application shows whether a part is out of date.
Point-in-time figuresHeadcount, account balances and the balance sheet only by month, because the pivot table would add them up for quarters and years.Quarters and years show the position at the end, and the line “Cash and cash equivalents at the beginning of the period” shows the position at the start.
Late postingsA newly pasted export also changes months that have already been reported.Closed months stay as they are. A later difference is posted to the next open month as a late posting.
Group viewAll companies or one, selected on the “Einstellungen” (settings) sheet. You exclude intra-group revenue in Sales with the “Innenumsatz” filter.Group view across all companies. The sales report eliminates intra-group revenue and shows it separately.
CollaborationOne file, passed around by email.Access rights per module, pseudonyms for customer and employee names, requests on individual cells.
AI commentaryNot included. On request for the financial report and the sales report; from Financials also a text on the results of operations, financial position and net assets.

Would you rather start with your own figures?

In the demo we are happy to import one of your exports. That way, in the 30 minutes you see your own figures instead of the data of Beispiel GmbH. Or try ReportNow! yourself, free of charge for 14 days and without payment details.
